True Hire is currently seeking a polished, professional for a full-time Administrative Assistant. Candidates must be enthusiastic, extremely detail-oriented and possess some accounting skills along with a great work ethic.



Listening and Communication Skills: You will be expected to follow instruction from your supervisor, and your ability to understand those instructions with little or no follow up will be appreciated by your boss. Also, you might need to relate messages or instructions to others based from your supervisors. Good listening skills ensure that the information is relayed correctly.

People/Interpersonal Skills: You will be working directly with 2 people.  But you also might be the first line of communication between your bosses and the outside world, potentially speaking with clients, other employees, vendors and upper management.

Organizational Skills: Your bosses will likely rely on you to keep the working day in order. Scheduling meetings, travel plans, billing, etc. will all require a successful personal assistant to have terrific organizational skills.


Since “personal” is part of the job title, an assistant can expect to attend to an executive’s private issues. The assistant may have to run shopping errands, let a repairman into the executive’s home or pick up dry cleaning. Help assisting with children’s care when needed.  Discretion is of the utmost importance for a personal assistant. Executives open up their lives to their assistants and need to be able to trust them with any private matters that arise.


An executive personal assistant must focus on maintaining positive relationships on behalf of the executive. Personal assistants have to strike a balance between being firm and personable. They need to accomplish many things in a short time, and executives will turn to them during crunch times. Personal assistants need to know how to talk to people to get what they need. They should have excellent written and verbal communication skills as well as the ability to negotiate.

Make Travel Arrangements

You will be responsible for making your employer’s travel arrangements. This includes booking flights, car rentals, and hotel and restaurant reservations. The assistant makes sure her boss has a copy of the travel itinerary. Getting details of the area being travelled to, how to get to / from airport/ area restaurants, etc. To make these arrangements, the assistant usually has access to her boss’s credit card or financial information. For this reason, the assistant must be trustworthy and may be required to pass a criminal background or credit check as a condition of employment.

Calendar Management

Business professionals typically have a diary or planner that includes a detailed breakdown of daily activities. The personal assistant uses this diary to schedule appointments and meetings for your boss and to send out reminders to keep him/her on track.

 Maintaining Confidentiality

Administrative executives are privy to highly confidential information among the executive level offices and in other departments. Maintaining confidentiality of such information is a priority for administrative executives. Confidentiality must be maintained with telephone calls, e-mails, meetings and board meetings.

– Coordinate with household/farm staff as needed
– Calendar – Keep calendar for appointments, staff vacation, birthdays, etc – Maintain calendars; organize and schedule appointments
– Personal events – Create and send invitations for dinners and events. Keep track of RSVPs and follow up with calls if necessary.
– Reservations and appointments; Set up appointments, meetings, and dinner reservations and add to calendar.
– Contacts; Update all contact information and add new contacts when necessary. Include notes on contacts if necessary and keep them updated.
– Purchases; Purchase personal items, books, and supplies online..
– Medical; Keep medical records and reports. File insurance claims if necessary. Keep supplement list up to date and relay to staff.
– Staff management; Assist in staff management, passing along requests and direction from principals to staff. Work with staff to coordinate and plan in and off season schedules and keep track get approvals of vacation time.
– Files; Organize all files, paper and on computer so information can easily be found.
– Assist with accounting Functions using QuickBooks.
